MetaVis for Drives: Blurring Lines Between Local and Cloud Storage

“MetaVis for Drives” edition brings common migration, backup, import, export, administration and monitoring functions to popular storage locations like SharePoint, Microsoft OneDrive for Business,, Google Drive and Network Shares. Besides specific functions available for individual storage areas the Drives edition aims to unlock the content in specific vendors storage allowing content visibility and mobility between vendors applications and between local and cloud.

The Drives edition makes the following functionality available.

  5. Backup OneDrive for Business and Google Drive users content using central location and single login to local file shares, Amazon S3 or Azure storage;
  6. Monitor and generate actionable Administrator Dashboard current status and trend reports about storage distribution and user activity in OneDrive for Business tenancy;
  7. Perform Informant content scan applying policy groups with configurable rules and actions to perform pattern, PII, PHI, URL, vocabulary keywords detection to OneDrive for Business content;
  8. Mass provision multiple OneDrive for Business personal sites using single login from a central location;
  9. Mass detect and remove OneDrive for Business personal site owners

MetaVis Feature of the Day: Organize SharePoint Farms

Left in ungoverned state when too many many people can create sites SharePoint farms tend to grow to disorganized structures that are hard to navigate, manage and secure. Sometimes it is not bad because at the initial phase of introducing SharePoint to the organization it might be desirable to have this organic, almost viral, grow of SharePoint use. Introducing governance policies and rules helps to mitigate the organization problem with the ongoing farm growth. However, the existing disorganized structure remains. MetaVis Migration Suite provides an excellent way to restructure existing SharePoint farms into new manageable scheme.

For example, take a sub-sites somewhere deep in the site hierarchy and promote it to a new site collection together with all its sub-sites, lists, content, permissions and even navigation and look and feel. Alternatively, do the opposite operation: take a site collection and move it all as a sub-site of the other site collection. MetaVis Feature of the Day: Content Upload to OneDrive for Business

MetaVis Platform offers multiple alternative solutions to onboard existing content to OneDrive for Business tenancies scaling from self-service applications intended for the end users and progressing to full featured enterprise software for centralized mass upload of high volume of content owned by multiple employees of the organization. Let’s discuss some of the approaches

  1. In many cases companies create a folder for every user in the company on a network share to store their content. MetaVis OneDrive Management suite allows to take all these folders and upload them to the corresponding users OneDrive for Business personal sites using one central location. MetaVis platform allows to use user mapping to match users from different user directories, produces summary log files, enables full scaled or granular migrations for the selected group of users at a time.
  2. In the similar fashion, MetaVis OneDrive Management Suite can upload content from Google Drive accounts as well as from SharePoint on-premises My Sites to corresponding OneDrive for Business personal sites. In addition to its regular enterprise features associated with these kind of migrations the platform allows mapping of permissions from Google Drives, includes versions and maintains Sharing hierarchy with Shared with Me area.
  3. In addition to mass level migrations performed for multiple users in the organization, MetaVis OneDrive Management Suite allows to copy individual files and folders from file systems, SharePoint shared sites (on-premises, hosted or Office 365), Google Drives, My Sites or other OneDrive for Business personal sites to the selected OneDrive for Business personal sites. MetaVis Feature of the Day: SharePoint Pre-Migration Analysis

MetaVis Pre-Migration Analysis is an Excel report generated by MetaVis Migrator for SharePoint summarizing the current state of the source environment (File System or SharePoint) from the migration perspective. The report analyzes different parameters of the source data that can affect migration planning. The report graphically outlines and color codes potentially problematic areas such as content volume, path length, custom WEB Parts, blocked file extensions, too large file sizes, unsupported characters in file names that will be replaced and many others. The report also indicates locations of complex objects like workflows or InfoPath forms.

While useful as a migration planning tool, MetaVis Pre-Migration Analysis might be used as a powerful method to quickly visualize data about the environment from content and structure perspective to plan even non-migration activities like branding, process engineering, governance or workflow implementation.

MetaVis Feature of the Day: Copy SharePoint Content using Excel Spreadsheet

The ability to copy items and document is the basic function of MetaVis Migrator. This function could be performed by copying a group of items from the source and pasting them into the target or dragging and dropping items from source to target location. During this process there is a property mapping screen that allows to copy or add new field values.

In addition to this interactive method of copying items the user can create Excel spreadsheet that lists locations of source items or files together with field values associated with them. The user can use this Excel spreadsheet to instruct MetaVis Migrator to copy items listed in the spreadsheet to the specified locations and assign them field values specified in the spreadsheet. Moreover, MetaVis will generate a template for such spreadsheet based on the field schema in source and target locations.

The Copy using Excel spreadsheet function can copy items and documents from SharePoint locations including content version history. This function could also import files from file system to SharePoint libraries or OneDrive for Business personal sites.

MetaVis users or value added resellers can use Excel-based item copy to fine tune and to customize migration scenarios by defining specific subset of items to copy in certain copy operation as well as defining metadata for each item individually.

MetaVis Trivia: Managed Metadata Support and Term Store Management

MetaVis Platform Features Overview: Copy content types with dependencies

A content type is a reusable collection of metadata (fields) and other settings that could be applied to SharePoint items. A content type in SharePoint may have a parent content type, which in turn may have another parent and so on. A content type may also have fields some of which it can inherit from its parents and the other fields could be created right inside this content type. Content types could also be added to lists or libraries that allows them to be used to assign metadata values to items or documents.

This way, content types form pretty complex structure in SharePoint site collections. Look at the example below generated by MetaVis Architect




MetaVis Migrator for SharePoint can copy all content types including their complete parent hierarchy and fields when a user copies a list or library that used these content types. MetaVis Migrator also reproduces source content type hierarchy in the target environment when copying the whole site.


Recently we added the function that allows users to copy just one selected content type from one site to the other one in one operation including all tree of the parent content types and all fields in these content types.


Select source and target sites in MetaVis Navigation Tree, Start Compare, expand Content Type compare area, select the content type to copy and click Copy from Left to Right button (or Copy from Right to Left button depending of the circumstances)



Using this operation MetaVis Migrator will copy the selected content type and all its dependencies.


MetaVis Change Manager allows scheduling content type copy activities using simple copy / paste or drag-n-drop gesture on MetaVis Navigation Tree. Unlike MetaVis Migrator, Change Manager displays content types in the navigation tree and allows copying them between different sites.



A part of MetaVis Change Manager functionality is to execute activities for multiple source and target site pairs provided by Excel spreadsheet. This function allows to mass-distribute content types between multiple site collections as a part of an execution of a single activity.

MetaVis Platform Features Overview: Bulk user mapping to add or replace domain in login names

Many if not all SharePoint objects have user accounts associated with them. They could come in the form of basic item or document properties like Created By or Modified By. The other example is the value in Person or Group field. Users could also be members of SharePoint security groups or object permission records.

One of the common problems that arise when people copy SharePoint objects or the whole site collections between active directory domains is to change account information when copying users. For a long time MetaVis Migrator used to have an ability to specify user mapping when performing copy operations. Each Copy Wizard to copy items, lists, sites, permissions or user groups includes the controls to provide user mapping

User mapping should be provided in the form of CSV file with a row per user mapping. Each row should specify account name is the source and target environments separated with comma.

While this approach works well in majority of the situations it is often hard to compile user mapping file if environments contain hundreds if not thousand user accounts.

To cover the situation with bulk user mapping, MetaVis Migrator added the ability to provide user-mapping rows using wildcard specifications like on the picture below

In addition to this, the wildcard specification could just add a domain to the account that does not have domain in the source environment

The later mapping could be user to map user accounts from FBA environments or from non-user fields like text field or MS Office Authors or Last Saved By fields.

It is worth to note that the wildcard records could be provided in the mapping file in addition to the real account mapping. This technics provides the mechanism to specify default values to the user mapping in addition to the direct mapping of the account that have more changes in the source and target environment than just domain change.
